Receptionist Job Description

The receptionist has one of the most important and challenging jobs in our hospital. A receptionist is the first person with whom clients or potential clients will talk to when they call. You are the voice of the hospital and are responsible for providing accurate information and a caring attitude. The receptionist also is the first person clients see when they walk through our door and usually the last person with whom clients speak upon leaving.

Duties:

Helping clients:

  • Greeting clients and their pets by name as they enter the hospital.
  • Insure that their needs are met as efficiently as possible.
  • When clients arrive, check their addresses and phone numbers for accuracy; update addresses and phone numbers as needed.

Telephone Communications:

  • Describe various services offered by the hospital clearly and be able to quote for services.
  • Schedule appointments for office calls and routine surgeries
  • Record phone messages for doctors
  • Call clients to confirm next day appointments
  • Know our fees for routine services so you can inform clients

Sales & Cashiering:

  • Explain invoices to clients
  • Sell over the counter products
  • Know how to accept and keep accurate track of cash, check, and credit card receipts.
  • Balance transaction at the end of the shift or day
  • Properly apply payments to accounts receivable.

Administrative & Maintenance:

  • Retrieve, update, and file patient records.
  • Make sure each patient’s computer medical record accurately reflects the patient’s visit.
  • Keep reception desk and client reception area clean and orderly.
